Problem and Challenges
Digital asset management (DAM) helps users get more value from creative digital assets like images and videos by making them easy to organize, access, collaborate, and distribute.
Users can't maximize the value of their DAM or their assets when key notifications about assets and DAM activity are absent, it results in:
Phase 1 (at the end of Q4 2022):
- Create a way to manually let users share asset(s), category, and collection with other users.
- Have user search & user list components that are accountable for permission.
- Allow user to mention someone on the comments of asset.
- Redesign the notification email template that can embed client's branding for recipients.
Phase 2 (TBC)
- Build in-app Notification Center that allows users to configure settings and preferences.
- Make notification automatically by adding "Watch/Follow" feature for asset/category/collection.
Design - Share Links with Users
By looking at the current share modal layout with 3 vertical sharing options, adding the "Share Asset Link" as 4th option will take more space on top and require more sorolling from users to go to the bottom of the modal. The challenge is to identify the best pattern for having total of 4 sharing options on limited space is curcial.
During the discovery, we found that allowing users to preview small thumbnails and quickly copy asset link to clipboard is a good addition, especially when users are dealing with send multiple asset links, they could use "show asset links" as a quick review before sending out.
DAM users have different levels of permission, which increase the difficulty of designing user search and user list components, we have to be accountable of all use cases and even edge cases from permission perspective. Below is the 3 different levels of share-related permission MedaValet DAM has:

Although we have dedicated 404 pages as the easiest way of achieving the goal. However, it's not the best experience when recipients redirect the link to DAM and see a 404 page, they would have to contact the sender to ask for permission / Send assets directly. The challenge is How can we improved the eprience when sending to a user who doesn't have access to the asset/category?
After dived into the workflows and explored different approaches, the solution is to display warning message for that user on the user list when the user have don't have access to any asset that you want to share.

As part of the notification feature, redesign the email template for a better recipient experience is really important for this feature. The current email template that MediaValet have is poorly designed in both visual and information perspectives. In addition, there is no brand identity of the client's Logo and theme color.
